Keeping your certifications and policy documents up to date

When you were onboarding, we collected certificates and policies from you relating to the work that you carry out for SUEZ. It is essential that we keep these documents, as well as your information, up to date whilst we are working together.

When the documents we hold for you expire, we’ll send an email and form to you via Coupa asking for updated versions. The form we send out holds extra information, including your contact info, bank details, address, etc. It’s a good opportunity for you to review your company information and check it is up to date and accurate. This will help ensure everything runs smoothly when we’re placing orders with you and paying your invoices.

 

Coupa Supplier Portal (CSP) Update

Every year, Coupa undertakes three big system updates to improve and enhance the system. The next of these updates will take place in September when the CSP is being updated. You can expect to see the following enhancements in the CSP, as well as other smaller tweaks:

Check Admin Users

If you are not sure who the CSP admin users are in your company, you will be able to hover over the ‘view admins’ button on the homepage, this will show you who you need to contact if you require more permissions or linking to other customers. These users have enhanced permissions so that they can control the company profile in the CSP and how other users can access the system.

Updated Main Menu

The menu is changing so that you will see your most frequently used items first in the list. For example, if you are checking on the progress of your invoice payments, you may notice that this will move to the far left of the screen.

View Recent Logins

You will be able to check who within your organisation has been using the CSP, and when. To check the list of recent logins, click on ‘account settings’ under your username in the top right of the screen. Within account settings, click on ‘security & multi-factor authentication’ and you’ll see the ‘recent login activity section’, which will show you logins in a reverse chronological order.

 

Supplier Actionable Notifications (SAN) Vs. Coupa Supplier Portal (CSP)

In the previous release of the CSP in May, Coupa added a one-time password (OTP) feature as an additional security measure for each supplier actionable notification. Businesses across the globe suffer malicious cyber-attacks daily, where URLs that aren’t protected by a security mechanism are exploited. This OTP feature will prioritise and protect your business data.

This means that you will receive an extra email with a code in it when creating an invoice outside of the CSP, which you will be required to enter before you are able to submit the invoice.

Using this method also means that you are not able to view all information in one place and must keep the original emails that you receive with the link to each purchase order so that you don’t lose access to this information.

By creating an account in the CSP, you will have access to view all purchase orders and invoices, and have open communication with our users who raised the orders, as well as our accounts payable department who process invoices via comment sections on each page that you visit. This makes it much easier to keep up to date and organised, and provides a good point of contact with the right people to help you with your queries.
